Data management policy

This page is for people who register for an event through a registration page hosted on helplee-event.com. It explains how the information entered in the registration form is processed.

Who is responsible for your data?

Verantwortlech fir d’Veraarbechtung ass den Organisateur vun der Manifestatioun, fir déi Dir Iech umellt. Säin Numm steet op der Umeldesäit an an Ärer Confirmatiouns-E-Mail.

The organiser decides why your data is collected and what is done with it. Drop Interactive (SARL, RCS Nantes 521 675 678, 86 rue des Agénets, 44000 Nantes, France), publisher of the platform, acts on the organiser’s behalf as a processor: it hosts the registration page, records your registration and sends you the confirmation e-mail. It does not reuse your data for its own purposes.

What data is collected?

Your contact details: first name, last name and e-mail address (required).
Your answers to the additional questions asked by the organiser (workshop, organisation, phone number…). The form shows which ones are required.
Your consents, if you are asked for them (for example, image rights).
Technical data: date and time of registration, IP address and browser type, to prevent fraudulent registrations.

Please do not enter any sensitive information (health, religion, opinions…) in the free-text fields. If you need disability-related arrangements, please contact the organiser directly.

What is it used for?

Recording your registration and allowing the organiser to manage the list of participants (welcome desk, number of places, attendance sheet). Legal basis: steps taken at your request (Article 6(1)(b) GDPR).
Sending you the confirmation and practical information about the event (venue, times, access, any changes). Same legal basis.
Using your image or any data subject to a dedicated checkbox. Legal basis: your consent (Article 6(1)(a)), which you can withdraw at any time.
Protecting the form against automated registrations. Legal basis: legitimate interest in keeping the service secure (Article 6(1)(f)).

Your data is not sold, not used for advertising and not passed on to any other organiser. Any other use by the organiser, such as sending a newsletter, requires your express consent.

Who has access to it?

the event organiser and the people they have authorised, for their event only;
Drop Interactive, for the administration and maintenance of the platform;
IONOS, the website host, whose servers are located in the European Union;
[e-mail delivery provider – to be completed], to deliver the confirmation e-mail.

The access map shown on the registration page is provided by OpenStreetMap. When it is displayed, your browser sends your IP address to its servers, which may be located outside the European Union. No registration data is sent to them. The venue address remains readable on the page without the map.

How long is it kept?

Your registration is automatically deleted from the platform 90 Deeg nom Datum vun der Manifestatioun. It is deleted immediately if the organiser cancels it or if you ask for it to be deleted. If the organiser has downloaded the list of registrants, keeping that file is their sole responsibility.

What are your rights?

You can access your data, have it corrected or deleted (and therefore cancel your registration), ask for its processing to be restricted, object to its processing, obtain a copy of it in a reusable format, withdraw your consent and set instructions regarding what happens to it after your death.

To exercise these rights, write:

  • beim Organisateur vun der Manifestatioun, op der Adress, déi op der Umeldesäit (Link „Kontakt“) an an Ärer Confirmatiouns-E-Mail steet

You can also write to Drop Interactive, 86 rue des Agénets, 44000 Nantes, France. Please state the event concerned and the e-mail address you used to register. You will receive a reply within one month.

If you believe your rights have not been respected, you can lodge a complaint with the CNIL (the French data protection authority), 3 place de Fontenoy, TSA 80715, 75334 Paris Cedex 07, France, or online at cnil.fr/fr/plaintes.

Registering a minor

The registration of a minor under the age of 15, and the permissions that go with it (image rights, for example), must be completed by a holder of parental authority or with their agreement.
